Clean up your Code Archive

After coding numerous data files, you might discover that there was entered quite a lot of 'rubbish', like false Codes or Classes, 'double' Codes because of a typos and so on. Those entries do not disappear automatically, if changed in the corresponding data files.

Any old/wrong entries are usually not a real problem, but they might be confusing during data selection.

The moment you need to display 'zero values' in your statistics (to list Codes that were not Coded within the current data file), it is important to clean up your Code Archive, for all those 'bad' Codes appear as well.

IMPORTANT: Cleaning up just the archive is only half the job. False entries, still available in your data files, keep reappearing until you have cleaned all your data files as well!

Sort out your Code Archive

There are multiple ways of cleaning up your Code Archive:

Arrow-Right-OrangeDelete a few wrong Codes and Classes - If you are sure, that all your data files have been cleaned of any wrong Code & Class combinations, you can manually delete those combinations from your Code Archive - if there are just a few entries to be deleted:

Click Start - Observation - Code Archive Btn_CodeArchive, to open the current Code Archive.

Select one item to be deleted (either one Code or one Class to remove a Class with all its Codes)

Press DEL or click the Delete Selected Line Btn_RowDelete icon to remove the selected entry.

Confirm the upcoming dialog to actually delete the item.

Arrow-Right-OrangeDelete the current Code Archive - To get rid of all the entries, without having to re-assign any of your linked documents, you can also simply delete the existing Code Archive file:

TAKE CARE: Deleting an existing Code Archive cannot be undone. All descriptions, the sort-order of you Codes and all color assignments are lost.
All entries will receive a new random color.

Only perform this if your did not yet spend a lot of work in color-assignments and sort-order:

Click Start - Observation - Code Archive Btn_CodeArchive ,  to open the current Code Archive.

Select Delete current Code Archive Btn_CloseDocument icon in the toolbar .

The Code Archive editor is automatically closed

Re-open the Code Archive will build a new one from scratch.

Arrow-Right-OrangeCreate a new Code Archive - If you have made many changes in your Codes and Classes within your data files or a final compilation file, this results in a lot of outdated Codes remaining in your Code Archive.
In that case, creating a completely new Code Archive for your cleaned-up compilation file to this new Code Archive, is probably the best solution:

Enter a new name into the Code Archive field of the file properties

Confirm your entries with OK.

Save your data file.

Now all remaining Class/Code combinations as available in your final file are entered into this brand new Code Archive.

Note: If you plan to assign the same Code Archive to further data files, make sure  these files are cleaned before the Code Archive is assigned. Otherwise, all outdated Codes will be entered into that Code Archive again.

As soon as your Archive has been cleaned, you can give your analysis results and Timeline Charts your final touch:

oRearrange the Codes and Classes in a logical way.

oAssign custom colors to your Codes.

oAdd Abbreviations to your Codes or use the abbreviations for translation.

oAdd descriptions to your codes so the Code Archive can also serve as a coding manual.
